1 Scope and Legal Age
- These General Terms and Conditions (“GTC”) apply solely to the free submission of scientific abstracts for the above-named event.
- Participation in the subsequent conference and any ticket purchase will be governed by separate terms published later.
- Only natural persons aged 18 or older can act as submitting authors.
- Authors must disclose all actual or potential financial and non-financial conflicts of interest that could be perceived to influence their work.
2 Abstract Submission and Formation of Contract
- Abstracts may only be submitted through the Submission Platform within the announced deadlines.
- By clicking the button “Submit Abstract” the submitting author makes a binding, free-of-charge offer to conclude a contract with the Organizer concerning evaluation and potential presentation of the abstract.
- The contract becomes effective once the submitting author receives an automated confirmation e-mail from the Submission Platform.
- Each author may submit multiple abstracts unless the Call for Papers states otherwise.
- By submitting, the author confirms that, where human participants are involved, appropriate ethics committee approval has been obtained and informed consent secured; and that any animal research complies with relevant institutional, national and international guidelines.
3 Fees
Submitting an abstract is free of charge.
If an abstract is accepted, at least one author must register for the conference and pay the applicable participation fee by the deadline stated in the acceptance e-mail. Failure to do so entitles the Organizer to withdraw acceptance.
4 Review Process and Notification
- All abstracts undergo double-blind peer review by two independent reviewers and the Scientific Committee.
- Authors will be notified of acceptance or rejection by 30 November 2025 at the latest.
- Acceptance does not create any right to a particular presentation format or time slot; these are assigned by the Scientific Committee at its sole discretion.
5 Withdrawal and Revisions
- After submission, withdrawal or replacement of an abstract is not possible. The Scientific Committee may permit minor textual corrections until the editorial deadline.
- Should an author be unable to present the accepted work in person, the Committee may allow a co-author to present or, in exceptional cases, convert the contribution to an online format.
6 Copyright and Publication Licence
- The submitting author warrants that the abstract is original, does not infringe third-party rights and that all co-authors consent to the submission.
- The author grants the Organizer, free of charge and without territorial or temporal limitation, the non-exclusive, perpetual and irrevocable right to reproduce, publish, translate, distribute and display the abstract (title, authors, affiliations and text) in printed and electronic conference materials, including the publicly accessible “Accepted Abstracts” list, and to forward the abstract to Current Oncology for publication.
- For any images or third-party material contained in the abstract, the author guarantees that the necessary publication rights have been obtained.
7 Audio-, Video- and Photo Recording
Presentations given at the onsite conference will be audio-, video- and photographically recorded. By submitting an abstract, authors and subsequent presenters grant the Organizer the irrevocable, royalty-free right to record their contributions and to make the recordings available to conference participants and, where applicable, to the public via streaming or on-demand platforms.
8 Liability
- The Organizer is liable without limitation for intent and gross negligence and for injury to life, body or health.
- In cases of simple negligence, liability is limited to typical, foreseeable damages and only if an essential contractual duty has been breached.
- The Organizer is not liable for consequential or incidental damages and accepts no responsibility for travel disruptions, lost data or technical malfunctions of the Submission Platform.
9 Data Protection
- Personal data provided during abstract submission are processed for peer review, programme planning, publication, certificate issuance and communication with authors.
- Name, institution and country of the submitting and presenting authors will appear publicly on the Accepted Abstracts page; no opt-out is available.
- No special categories of personal data within the meaning of Art. 9 GDPR (e.g. health data) are requested or processed.
- Further details are outlined in the event’s Privacy Policy available on the conference website.
10 Supplementary Provisions of the Submission Platform
The General Terms and Conditions of Converia GmbH apply in addition to these GTC and are accessible at https://express.converia.de/agb.
11 Final Provisions
- The laws of the Federal Republic of Germany apply; the UN Convention on Contracts for the International Sale of Goods (CISG) is excluded.
- Place of performance and exclusive place of jurisdiction, as far as legally permissible, is Mainz, Germany.
- Should any provision of these GTC be or become invalid, the remaining provisions shall remain unaffected. The invalid clause shall be replaced by a valid one that comes closest to the economic intent of the invalid provision.
